Responsibilities

Service Responsibilities

  • Be the first point of contact for customer inquiries and keep them updated on their jobs.
  • Open, maintain, and finalise work orders, ensuring smooth operations.
  • Prepare service repair quotes and assist with warranty claims and follow-ups.
  • Schedule customer jobs using your technical knowledge to support the Service Manager.
  • Facilitate seamless communication within the Service Department.

Parts Responsibilities

  • Promote and sell parts and services to meet customer needs.
  • Keep the showroom optimised with up-to-date marketing materials and attractive displays.
  • Research and interpret parts requirements
  • Manage inventory, verify shipments, and assist with merchandise delivery.

Administration Responsibilities

  • Provide general administrative support across service, parts, and branch departments.
  • Record and manage employee timesheets, invoices, and dealership files.
  • Greet visitors, manage calls, and ensure efficient customer interactions.
  • Prepare documents, coordinate events, process incoming and outgoing mail and handle office supplies.

The Ideal Candidate should have:

  • Previous experience in an administrative and/or service advisor role or similar
  • Strong people and communication skills
  • Positive attitude towards customer service
  • Ability to use applications such as Microsoft Office Suite, Sales and Service Advisor software
  • Understanding of office procedures, data entry and technical terms
  • Capable in accounting and reconciliation
